When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string.
Comments left in response to any consultation of the Neighbourhood Plan will be retained as part of the evidence base for the policy document, and will be shared with Basingstoke and Deane Borough Council, and may be published on their website in accordance with their privacy policy. It is likely that if the plan is put to examination that your details will need to be shared with the Appointed Neighbourhood Plan Inspector also.
Privacy statement
The purpose of this consultation is to help develop the Sherborne St John Neighbourhood Plan Review. The information you provided on this consultation form will be solely for the use and development of the Neighbourhood Plan. Your comments will be shared with third parties associated with the Neighbourhood Plan and published.
Where appropriate, responses from organisations will be published together with the name of the organisation and employee. Any other personal data will not be published but may be shared with third parties for the purposes of collating responses for use associated with the production of the Neighbourhood Plan.
We do not use any of the information you provide for direct marketing or other non-Regulation 14 activities.
Your participation is voluntary. You are entitled to ask that part, or all, of the record of your involvement in the survey be deleted or destroyed.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Who we share your data with
If you request a password reset, your IP address will be included in the reset email.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue, and comply with relevant neighbourhood plan making regulations.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
